Since renting a villa is a little different than making a booking at a hotel, we have set out some guidelines for you to include:

  • Booking Procedure
  • Prior to Arrival
  • Arrival & Departure Procedures

Booking Procedure:

When a villa is reserved with one of our Rental Specialists at RE/MAX Island Properties, we will send you a Villa Rental Confirmation via e-mail or fax.  Once you have sent in your deposit for the Villa, the Villa Rental Confirmation becomes a binding agreement and all terms & conditions must be adhered to as stated out below.  A confirmation letter will be sent to you upon receipt of the deposit.

Security Deposit:

Along with your Villa Rental Confirmation, we will also send you a Security Deposit Form.  This form must be completed and returned as part of the confirmation for your reservation.  This form is to guarantee that any additional charges that you may incur during your stay may be charged to your credit card and will be processed at the end of your stay.  These charges may include, but are not limited to, telephone charges, additional nights at the villa, additional maid service, telephone charges, lost keys, lost remote controls, rental items such as cribs or rollaways, damage to the villa and/or contents (not including general wear & tear), etc.  If you do not get a copy of your final charges prior to your departure, a copy will be sent via mail.

Children's Policy:

Children under the age of two are not counted as part of the number of persons occupying a villa under the condition that the child sleeps in a crib in the bedroom with the parents. Villa rates are based on two guests per bedroom where children 2 years and older are counted as part of the total number of persons occupying the villa.

Payment & Cancellation Policies

Payment Policy:

We will require a 25% deposit of the total rental amount in order to confirm the reservation. The balance is due 60 days prior to arrival.

Cancellation Policy: 

Cancellation received more than 60 days prior to arrival date, the 25% deposit will be refunded less a 15% service fee assessed against the refund value. If cancellation is received 60 days prior to arrival date or  less, 100% of the rental price will be forfeited.

When a reservation is canceled 60 days prior to arrival or less, refunds for villas will only be granted if the villa is re-booked for the period of the booking. If a portion of the rental time is re-booked, then a pro-rated refund will be made.

Christmas & New Year’s weeks: 

DURING CHRISTMAS AND NEW YEAR'S WEEKS, A 50% DEPOSIT OF THE TOTAL RENTAL AMOUNT IS DUE. THE BALANCE IS DUE 90 DAYS PRIOR TO ARRIVAL DATE. ANY RESERVATIONS ACCEPTED WITHIN 90 DAYS PRIOR TO ARRIVAL MUST BE PAID IN FULL WITHIN 14 DAYS OF RESERVATION.  ALL HOLIDAY RESERVATIONS ARE NON-REFUNDABLE.

Any refunds approved, will be subject to a 15% service fee assessed against the refund value. 

A cancellation request or any changes to your reservation must be submitted in writing.

RE/MAX Island Properties recommends Trip Cancellation Insurance. 

Prior to Arrival

After your villa has been confirmed and paid for, the following will assist you with further information or arrangements required prior to your arrival on island.

Car Rental Information:

Our Rental Agents will be happy to assist you with your car rental arrangements.  If you would like assistance, please refer to 
Car Rental Information and let your Rental Agent know what you would like to reserve.  If you do decide to rent from another company, please let us know the name of the company where the arrangements have been made.

Flight Arrival Information:

It is very important that you submit your flight arrival information at least 30 days prior to your arrival date.  Please submit this information via e-mail or fax to your Rental Agent.  We will require this information in order to have an Island Properties Representative to meet you at the airport upon arrival.

Additional Rental Items:

Please take your time to view the section about Additional Rental Items before you arrive on island.  If you require any additional rental items in the villa prior to your arrival, would like to make dinner reservations, arrangements for activities or any other reservation, you must submit these requests in writing via e-mail or fax to your Rental Agent at least 10 DAYS prior to your arrival on island.

Flight Delays:

If you are delayed for any reason on your scheduled day of arrival, you must contact your Rental Agent to inform him/her of your delay.  Failure to notify us of your delay, especially if you are extremely delayed, a $50.00 charge will be added to your final bill.  Since we have a representative waiting for you who will escort you to your villa, it is very important that we are informed of any changes to your arrival on island.

Arrival & Departure Procedure

In order to make your arrival and departure from the island as smooth and easy as possible, the following is a guideline for the arrival procedure from the airport to the villa and the departure procedure at the end of your stay.  If you have any questions or require any further information, please make sure to contact us prior to your departure date.

Immigration

Upon arrival into St. Maarten/St. Martin, you will go through immigration.  You will be required to fill out an Immigration Form (which should be given to you on board the arriving flight to the island).  This form will require the address for the villa you will be staying at.  We provide you with the villa address and telephone number on your Villa Rental Confirmation Form.  Make sure to note it down with your travel documents.  Once the Immigration Form is filled out, you will have to present it along with your passport and return ticket.

Meet & Greet after Arrival

After you clear immigration and collect your luggage, you will need to meet the representative where you have made arrangements for your car. 

If you have made car rental arrangements with RE/MAX Island Properties, outside the baggage claim area in the courtyard, Dollar Thrifty will meet you and will shuttle you to another office for paperwork and the pick up of your vehicle.

If you have made car rental arrangements on your own, most car rental companies have their booth in the courtyard.  If not, there will be a representative from the car rental agency with a sign with your name on it.  You will be shuttled by a representative from the car rental company to pick up your vehicle.

The representative from RE/MAX Island Properties will meet you at the car rental agency and you will follow the representative to your villa.

If you opt not to make any car rental arrangements, please advise us in advance so that we can book you a taxi that will take you to the villa.

Arrival to the Villa

Once you arrive to the villa, our representative will escort you into your villa.  He/She will give you a tour of the villa, an arrival package and the keys.  In your arrival package, you will be provided with contact numbers that are accessible 24 hours a day should you require any type of assistance.

During your Stay – Concierge Service

If you need any assistance during your stay, please contact your Rental Specialist at any time.  It is very important that you do call your Rental Specialist who will assist you with any questions you may have, problems while on island, island information, restaurant reservations, information about activities, boat trips, excursions, shopping etc.   We are always happy to assist you in order to make your stay as enjoyable as possible.  In addition, the housekeeper who will be taking care of the house during your stay can also answer questions about the house and/or the island.

Departure Procedure

Check-out time is 11:00 AM.  If you have a late flight and would like to stay a little longer at the villa, please contact us during your stay.  You may be able to stay longer at the villa as long as we do not have a check-in scheduled for the day of your departure.

All keys are to be returned to the office on the day of departure.  If you are staying in the Oyster Pond or Dawn Beach area, all keys are to be dropped off at the office located in Oyster Pond.  If you are leaving during the weekend, or before/after office hours, you can put the keys in our special “Key Box” located just beside the front door.

If you are staying in the Simpson Bay, Pelican Key or Lowlands areas, all keys are to be dropped off at the office located in Simpson Bay.  If you are leaving during the weekend, or before/after office hours, you can put the keys in our special “Key Box” located just beside the front door.

If you do see the housekeeper prior to your departure, you may also leave the keys with her.

You will not be escorted back to the airport.  If you need assistance to order a taxi, please call your Rental Specialist.  It is recommended to check-in about 3 hours prior to your scheduled departure time.
